How to import bank and credit card statements into QuickBooks Online

QuickBooks Online can import transactions from a CSV, QBO or QFX file, and it can also read a PDF or image of the statement itself. This page covers the CSV route for a bank account and a credit card account: the file QuickBooks expects, what changes for a card, the errors that stop an upload, and a recorded walkthrough of the whole import. Importing a credit card statement

  • It goes into a credit card account. A card is a liability, so its statement belongs in a credit card account, not a bank account. In QuickBooks Online, Intuit's guidance is to choose the credit card account, not a bank account, when you upload the file. If the card has no account yet, add it as a credit card account first.
  • The signs flip. On a card, a charge increases what you owe and a payment reduces it, the opposite of a bank account, and QuickBooks Online expects its own convention for which is which. Intuit notes that a card's file can show amounts the opposite way round to a bank's, and that choosing the credit card account at upload is what gets them added correctly.
  • A card payment is a transfer. The payment leaves your bank account and arrives on the card, so it shows up on both statements. Match it once as a transfer, rather than booking it twice as an expense and as income. QuickBooks Online suggests a match for a transfer or card payment of the same amount dated from 90 days before to 20 days after, and pairs the bank side with the card side so the payment is recorded once.

Common QuickBooks Online import errors

Why does QuickBooks say the uploaded file is of a different type than these accounts?

QuickBooks shows this error when the file belongs to a different kind of account from the one you picked, for example savings transactions uploaded into a checking account. Go back and choose the account the statement belongs to. A credit card statement goes into the credit card account, not a bank account.

Why won't QuickBooks Online accept my CSV file?

Most rejected uploads break one of Intuit's file rules: more than 1,000 lines or more than 350 KB, a layout other than three or four columns, currency symbols or commas in the amounts, special characters in the descriptions, or dates in a different format from the one chosen when mapping. Fix the file against those rules and upload it again, splitting a long period into shorter date ranges if it is over the limits. Why are my credit card charges showing up as payments in QuickBooks?

Either the file went into a bank account instead of the credit card account, or its signs are the opposite of what QuickBooks expects for a card. Check the account first. If the account is right, delete the wrongly imported transactions before uploading a corrected file, so nothing is counted twice. Why did my dates import as the wrong month in QuickBooks?

A date written day first, such as 03/09/2026 for 3 September, reads as 9 March when the file is mapped as month first, and every date with a day of 12 or less imports without an error. Keep every date in the file in one format and choose that same format when mapping the columns. MatchLedger exports a statement written day first with YYYY-MM-DD dates, which cannot be read the wrong way round.

Why do I have duplicate transactions after importing a bank statement into QuickBooks?

Usually the uploaded statement overlaps dates a bank feed already brought in, or a card payment was added on both the bank account and the card account. Intuit's guidance is to start the uploaded statement at least one day before your oldest QuickBooks transaction in that account. Where an imported line is already in your books, match it to the existing transaction instead of adding it again.

Imported is not the same as reconciled

An import checks the shape of the file, not whether it holds every transaction the statement lists. Once the month is in QuickBooks Online, reconcile the ledger back against the statement itself, so a missing or duplicated transaction shows up before you close the month rather than after.
